Would be great with an update on how things are going with Nature room, Music room, DIY room and Freedom room.

Art room - First meeting with Euan Williams Yesterday. He is really interested to be a part of it, but is slightly worries about the timeline as there is not much time left. He's thinking about potential works today and tmrw and I will meet with him tmrw (16/8) again to have another brainstorm.

About the art installation in the main room of hackers, Id like to suggest one particular group of people from Artistania.
About the freedom room, I might have a perfect guy, who could be involved, encouraging people to enter and express. Plus he could fill some "empty" spots. Lemme know what u think about that.

Hey guys, sorry to rain on the parade but... what's the art installation in the main room of hackers? you mean the culture room?
Hackers need to be concentrated so there are 2 places for art: 1 courtyard - taken by sponsor Colony, we might bring one or two music performers to the courtyard too.
The other place is the culture room. It is sponsored by Havven for you to have a decent budget. Budget is administrated by Gnosis, who is handling all invoicing, and myself with Chris' supervision.
Please be aware of this, in case there are any misinterpretations @aogunwole @chrishobcroft @victoriapriester @slgsson

  • Music (big room)
  • Art (small room)
  • Freedom (small room)
  • Nature (small room)
  • Workshop (big room)

I like it. But what is happening in art room? Visuals? Just wanna be sure that at the moment of performance the artist won't be disturbed by something loud from the next room, it's very unpleasant to perform then...
For the workshop room, I was talking to Birte, she would like to have the room available all day. So that could be her room. Also, I don't have budget for her anymore. Another thing about her workshop, she would like to have music. Since we can't have anything that don't belong to us, maybe we could pay someone to do live improvisation or original songs while making a workshop. I think Id be able to find someone, but It would have to go from the budget of the workshop room as well. Or how could we solve that?
I also wanna ensure about Gema again, are u sure we won't have to pay anything? I mean, I have few artists who are signed at Gema or some similar institution from other country, but all of my artists are playing either original songs or traditional folklor songs (which are gema free). But if they are signed, we will have to send the form with the names and songs. If you have already the Gema authorization back, Id like to see the form, so I can find out more about it as well...

Also, what about allowing some "Culture" to spill out of the culture room?

@mariapaulafn can we please find more budget to pay for Nicolas to play piano in main event. Maybe at reception, or in the place where people eat / drink coffee. He's the guy with the piano on wheels who plays it in the street markets of Berlin. He's incredible, and loves Ethereum. @victoriapriester can organise this. He will also display a QR code for people to pay him tips in Ether or any ERC20 token. I will organise this. It'll be super cute. Direct funding of the artist, on Ethereum blockchain. He's also my friend, or as they say in Germany "bekanter" (I don't know if I spelled that right).

Also, are we doing something in the big area outside the 5 rooms?

Did anyone see if there are still desks there? Or did they move them?

Can we leave lots of finger-paints out, or something nice like that? Can we get a volunteer who wants to do something like this?

Art room will be an installation, so no sounds, so it will work well beside the music room.

I've not done any work on the big room. The furnitures were still there when Euan and myself saw the room last week. We can find out on Thursday if they will be there or not.

It would also be great if you could update the team on the Freedom room. You and me spoke about it Friday, but think it would be good if the others have the info as well.

I already talked to Nicholas, if we can get the money for him form a different budget, it would be awesome. I could get more performances then. He asked for 250 Euros min. I would very much like to have his piano at the music room though, it would help to keep energy between the sets and also might be interesting to just have it there for people walking in.
I was thinking as well that we could also do some presentation of our floor in a different spots of the factory, like "moving piano" or Birte could present her workshop in e.x.20 min show oustide.
About the art installation outside the room, as I said earlier, the guys from Artistania have a great exposittions. Saba - the owner of the place, just got back to me saying he's gonna think about it. Let's see if he comes with any suggestion.

@chrishobcroft @victoriapriester the ceremonies on main events are being organized by core. They will be more hacker oriented. You also have the two larger rooms, should be more than enough.
Sorry but the culture room has 8.500 euros, and 5 small rooms, which was much more than what was envisioned at first. Nicholas is cool, but this time we will pass.

@aogunwole please do so, we need to incorporate havven on one of the rooms, or perhaps create something with plants for the entry hallway with the letters? your room has been the one taking up the least budget so you can have 200 € to figure this out.

Please @chrishobcroft update on freedom by EOW, otherwise we will need to close a room, at this point everything else in the hackathon has been sorted out, and all details should be finalized by Friday.

@mariapaulafn Adding plants to the hallway with just the lettering may be just as overpowering since it would be gratuitous especially if we have the signage already thanking them as a sponsor. I'm thinking we can do something nice with a projector or other experiential element that is more in line with the nature room and also gives more of a way for people to understand what Havven is and not just show their name randomly.

@victoriapriester @mariapaulafn Did we hear anything back from Birte regarding cutting down the budget?

Might be better to put the workshop in a small room - i.e. switch nature room and workshop room, which will allow for more space for letters, plants etc. It's important that Havven is being showcased properly. Will edit the layout and bring both to meeting, as a suggestion.

Text for Euan's work will be uploaded later today. He'll send something across to me today and then I'll spend some time on it.

I need a complete list of the people entering for culture - cannot exceed 10 pax. Can't be transferrable. (minus Anton at video and volunteers)
Birte has one musician, Euan has one assistant, leaving 6 people (includes Victoria) for the rest of the rooms. Please be responsible with headcount and reduce if needed.

Hi, I asked for the texts for every room EOW, plus headcount. 3 days ago. We are 5 days before event starts, and I am missing stuff. This is not good.
I have Euan + his assistant, @aogunwole, Birte + her musician, Anton for video.
I have no concept for the music room, no headcount for the music room.
No updates on the freedom room decals @chrishobcroft and they need to be designed (we have designers hired so we won't hire others) and go to print before Tuesday, the volunteers need to prepare that on Friday.

If there is no feedback by the end of the day on these points, I'll just make assumptions and, write the 1 pager incl. music room, send it to print and look after decals myself.

@aogunwole please send out a list of stuff you need for the main table (we have a table in the middle of the hallway we cannot move but Addy will look after it), we need the havven logo cut as well. I will bring art books of various kinds, dystopian books to contrast, and id appreciate anyone that could do the same. A volunteer will make sure these books dont go missing,

Hey, Id like to clarify the last organization info:

  1. on Friday I need to bring a lot of equipment to the Factory - sound system and acoustic treatment, carpets, lamps and the upright piano. Should I stick to the hours not before 6:30 and until 9pm? Is that the only time range we can bring the stuff there?
  2. I need some guys to help me move the piano on Friday at 6pm from Reichenberger str.36 to the Factory. Can u offer some of the volunteers? Or maybe Chris could help? The piano is on a big wheels so it will be easy for two big guys to walk with it.
  3. on Saturday, my artists will be arriving to the Factory during the day with their equipment. I need people at the place to be aware of, that artists will bring their own equipment they need to make a show. This equipment is not on the list I sent for the music room. I assumed it's very obvious that each artist will bring some of his own stuff, but after a few surprises we had Id like to make that very clear, so we don't have any more unexpected troubles at the place.
  4. on Saturday, Stephen Paul Taylor (which is the last show) will play at 9pm. Is there a strict time for the end of the music, or can we exceed 10pm? (he's playing a show till 8pm somewhere else, so might be delayed).
  5. on Sunday, Simon Schmidt will arrive before 12 with his stuff to make music, we finish the program 3:30.
  6. when can I take away my stuff from the room on Sunday? Right after the end of the program, or is there any specific time for that as well?
  7. I still didn't get any information about the catering for the artists. Please ping me up with what the deal is.
  8. My assistant accepted working as a volunteer. Do I have to register him somewhere, or what should I do to be able to take him with me? His name is Julian Bitzmann. He should be already on the list I gave you.
  9. Should we all prepare PDF brochure for each room, as it is for movement room? That is the one for sponsors, not for printing right?
  10. What about the schedule of the program, we discussed hanging the program on some visible spots around the venue and also at the door of each room. Should we still prepare that for printing, or should we just bring it to the venue? And if so how many copies?

Replying where I can

  1. Talk to [email protected] about volunteers to move the piano.

  2. All refreshments are provided as part of the event by Factory catering, including meals and snacks.

  3. Talk to [email protected] about your assistant.

  4. and 10. having a way to make people aware of what is happening and when would be good. At the very least, I would publish something in github (like this) for people to be able to refer to, and also for including on the website.

  3. it is fine to bring equipment, however our event has a waiver, we are not responsible for damages or losses.

  8. no, we closed lists, I asked for your list on Friday, got it Sunday, and sent the final one when you added your artist, moreover, your headcount is 6. the culture room (overall) will have assigned volunteers. I reckon everyone can look after their own rooms, especially if paid for it.
  9. this was a decision taken without asking anyone or considering that the culture room is one, and operates as one, not in silos. do whatever you want, we will not print it, but you can have it here
  10. no additional printing than what @aogunwole did already, culture exceeded budget. If you are printing, it comes out of your own pocket.

@victoriapriester I recommend you all include "terms of payment" on the invoices (e.g. 30 days), and chase them hard.

And also maybe put your Ethereum address on the invoice in case it's easier for them to pay in Ethereum or GNO

Do we already know if Anton can stream the music room at 7pm and 9pm? I asked to have him for the two main evening shows. Also, will he livestream by himself? Id like to connect my sound from the mixpult to the live stream when he's in the music room.

It is an upright piano on big wheels. I didn't assemble any, but Simon confirmed he can offer some of his volunteers to help with the piano.

Thank you @aogunwole - I'm snowed under... and you are my saviour.

Stuff we will need to do:

  • Set a mood, bring the mood, be the mood. @aogunwole, you know what that means.
  • Put up roll-up banners / signs
  • General tidy-up and make the place feel nice and comfortable
  • Bring all movable screens we can find to the culture room main space
  • Install the decals in the window frames of the Freedom Room
  • Somehow print the schedule for the things which have schedules
  • Open all the windows, get some fresh air flowing through
  • Get creative and help the participants connect with the culture happening around them.
  • Hug each other in one massive creative huddle, with @mariapaulafn right in the middle.
  • Meditate together for some time. Maybe invite @loredanacirstea to do some gentle yoga stretches.
  • It would also be nice to provide water to the participants of the culture room - is it too late to ask the kitchen to bring water and glasses for the culture room?

Please be aware the culture room is an auxiliary space for relaxation, creation, within a 1000 people event. So our schedules are full, budget is set and distributed, and we expect you to be both responsible for your stuff, and mindful of what's going on in the whole building. Same with volunteers, they may rotate so please respect them, they do this for the ecosystem's sake.
Additionally, please respect all decisions in the thread and Factory's rules, stated everywhere about strict admission.

Besides all Chris proposes, be mindful some people need room and space. Not all of us are accustomed to socializing, human touch and whatnot. Respect introversion, this is totally normal in our space, people will come to you.
All floors have fridges full of beverages, help yourself.

I will welcome any help in the music room from 6:30pm to 9pm tomorrow to carry stuff into the room. I will be bringing a lot of equipment. The rest of the days I can manage the room by myself. On Sunday from 4pm to 6pm again, if anyone wants to help carrying stuff out, Id be glad.
Im glad I could contribute to this. I believe we do a great job and have tuns of fun as well. ;)

Since the Factory or the organizers don't carry the responsibility for the stuff brought to the culture room, I'm bringing a lot of my equipment, that costs a lot of money. How do I know I can leave it there through the nights, since everything has to be there tonight by 9pm. Is it possible to somehow lock the music room? Or will there be anyone who will be looking after the rooms during the time we are not there?
